Privacy notice

Who we are

WEDIGITLIZE LTD operates this website. For privacy questions, contact info@wedigitlize.com.

Information you provide

The project enquiry form collects your name, email, business name, chosen service, optional budget and project message. We use this information to respond, discuss your requirements and prepare a quote. We do not automatically add enquiry contacts to a marketing list.

Fixed-service orders and payments

When you choose a fixed-price service, we collect the contact details, business name, chosen service, preferred timeframe and project brief required to discuss and deliver your order. We assign a checkout reference so your enquiry can be matched with Stripe payment records. Stripe processes your payment and issues the payment record; card details are not collected or stored by WeDigitlize. We retain order and payment-status records only as necessary for service delivery, accounting and legal obligations. Email info@wedigitlize.com to discuss correction, access or deletion rights.

Growth client workspaces

For Growth, we store your workspace and username, securely hashed passwords and recovery keys, researched business contacts, lead sources, business notes, uploaded files, content plans and the contact actions you record. We use these to deliver and support the service. The authenticated workspace identifies which client may access each record. WeDigitlize studio staff can access workspaces to fulfil research requests and support clients.

Netlify hosts the application and database. Stripe processes subscriptions on its hosted checkout and billing pages; we store customer and subscription identifiers and payment status, but not card numbers. Research uses public business sources and may contain named professional contacts. Clients must review contact permissions and marketing requirements before using research. Do not upload care-recipient health information or confidential service records. Workspace export is available in Settings; contact us about correction, objections, retention or deletion.

Business outreach

We research public business websites and company records to identify relevant website improvements. We may send a tailored business introduction to an appropriate corporate contact and record the source, audit, correspondence and next action in our private sales workspace, Notion and Microsoft Outlook. Where this involves personal data, we rely on our legitimate interest in relevant business development, balanced against the contact’s privacy and expectations. We do not buy personal contact lists or use email tracking pixels for these introductions.

You can reply to any introduction or email info@wedigitlize.com to object or ask us to stop. We keep a minimal suppression record so that we can honour that request. We review inactive prospect records after six months and delete information that is no longer needed, except for minimal suppression information and any records required for a subsequent contract or legal obligation.

Studio updates

If you subscribe on our digital card, we collect your email address and explicit agreement to receive occasional studio updates. Netlify stores this request, its timestamp and the consent wording. We use it only for the updates you requested. You can withdraw consent at any time by emailing info@wedigitlize.com; any marketing email will include an unsubscribe option. Subscription is optional and separate from project enquiries.

Website services

Netlify hosts the website and processes enquiry and subscription submissions. Its hosting and anti-spam services may process technical data such as IP addresses and browser information. Providers may process data outside the UK; their applicable safeguards and terms govern these transfers.

Confidentiality agreements and electronic signatures

WEDIGITLIZE LTD is the controller of this signing record. We collect your full name, email address, optional organisation, role and project reference, electronic signature, the exact agreement and acknowledgements, a server-recorded UTC timestamp, IP address and browser information. We use them to enter into and administer the agreement and, for security and legal claims, our legitimate interests in protecting confidential information and keeping reliable records. Netlify hosts the service and private database; access is limited to authorised studio administrators and advisers where needed, or disclosure required by law. Service providers may process information outside the UK under applicable transfer safeguards. We do not add signers to marketing lists. The studio sets and reviews a justified storage-retention date separately from the duration of confidentiality. Six years after the last relevant disclosure or end of the relationship is an initial review benchmark, not a universal legal requirement. Longer retention must be justified by continuing duties or legal claims. Where automatic deletion is enabled, an administrator must acknowledge a warning and receive at least 30 days before deletion; a legal hold blocks deletion. Authorised manual deletion is also available. Retention extensions, holds and administrative actions are logged without rewriting signed terms. Deleted records are removed from the live application; protected hosting backups expire under the provider retention arrangements, and separately downloaded copies are not erased by the website. A minimal deletion register, containing the reference and deletion time but not your name, email or signature, is retained for 90 days to support backup-restoration controls. Contact info@wedigitlize.com to request access, correction or deletion or to object; rights depend on the circumstances. You may complain to the UK Information Commissioner's Office. A correction is recorded separately rather than silently changing signed terms. Your email and identity are supplied by you, not independently verified by this form. Save your signed copy on the confirmation screen; no automatic email copy is sent.

Why we use the information

We process enquiries to take steps requested by you before a potential contract and to manage business correspondence. Technical processing helps us operate and protect the website. We retain information for the enquiry or project and any required business records, then review whether it is still needed.

Your choices

You can ask us to access, correct or delete your information, or object to certain processing, by emailing us. Some rights depend on the circumstances and applicable recordkeeping requirements. You can also raise a concern with the UK Information Commissioner’s Office.
